Client Money Protection
Rabbow & Co LLP is committed to preserving the security of clients’ money entrusted to us in the course of our professional practice.
Our procedures ensure that client funds are clearly identifiable and protected at all times.
• Client money is held in a designated client bank account separate from all other funds and is available on demand.
• Client accounts are correctly titled to distinguish them from office or other accounts.
• Clients are advised in writing of the bank account details and the agreed terms of account handling, including arrangements for interest and charges.
• Accounting systems and records are appropriate to the nature and volume of transactions processed.
• Our systems record all receipts and payments from client accounts and maintain a running balance of client funds.
• Client ledgers identify all receipts and payments and show the balances held on behalf of each client at all times.
• Accounting records are maintained chronologically and updated promptly.
• Current balances are always available at both the client level and overall account level.
• Controls are in place to prevent overdrawn client ledger balances and to investigate and rectify any discrepancies immediately.
• Procedures exist for managing unidentified client money, ensuring that funds are safeguarded until the rightful client is located. Funds held for more than six years may be donated to a registered charity.
• Client accounting records, including reconciliation documentation, are securely retained for at least five years plus the current year.
• Checks are made to ensure sufficient funds are available on behalf of the relevant client before payments are processed.
• Appropriate authorisation and supervision procedures are in place for payments made by cheque, bank transfer or electronic methods.
• All payment requests must be supported by appropriate documentation and authorised in advance by a responsible individual.
